Cape Cod Associates Real Estate:  Vacation Rental Policies and Procedures

Please note each lease has the following:
1. $75.00 processing fee, 
2. Cleaning fee
3. Refundable security deposit


Office Hours:

Rental Payment Policy:

To ensure your rental, a 50% deposit, the full administrative fee, and the full cleaning fee are due with the signed lease.  The balance and the security deposit are due 30 days prior to your arrival.  If the rental is booked within 30 days of arrival, the full payment is required at the time of booking.  We accept checks and credit cards. Once the homeowner has fully executed the lease with their signature and payment has cleared your reservation/lease is fully confirmed.

Security Deposit:

Our homeowners require us to collect a security deposit which is due upon occupancy or with your final payment. The security deposit is held in a non-interest escrow account and is returned to you after 30 days of your departure (minus any telephone charges and/or damages). Agents inspect the properties for damages and/or excessive use and will notify you within 72 hours if any problem for which you will be liable is discovered.


A tax is imposed on short-term rentals in Massachusetts and may vary based on local ordinances and bylaws as well as LANDLORD'S property holdings. The Massachusetts State tax is 5.7%, locally it is usually 4%  (subject to change) and there is a 2.75% Cape Cod & Islands Water Protection Fund tax.


Accommodations:  Guests are welcomed to preview their accommodations before signing a lease.  Our Vacation Rental Properties are all privately owned and reflect individual tastes of the owner.  We make every effort to ensure accurate descriptions of the homes we represent. We cannot, however, be responsible for typographical errors or changes made by owners in furnishings or equipment. If a tenant does not personally inspect the premises prior to signing their lease, they agree to accept the rental property as is, provided it meets the basic standards of habitability under MA law. The tenant will not be entitled to a refund and will have no recourse against the agent or Cape Cod Associates Real Estate if the property does not meet their expectations.

No rebates will be granted for malfunction or breakdown of appliances or home equipment, including but not limited to, microwaves, toasters, coffeemakers, dishwashers, washer/dryers, refrigerators, televisions, home audio, DVD players, cable service, computers, and garage doors. Repairs will be accomplished as soon as possible, taking into consideration service personnel workloads, part availability and nature of the work. All grievances must be expressed to Cape Cod Associates Real Estate in writing on the day of check-in.

Check In/Check Out/Key Policy:

Check in time is 3:00 to 5:00 pm on your arrival date at our office at 566 Route 28 Harwich Port, Massachusetts 02646. If you plan to be arriving after 5:00, please let us know and we will give you instructions on how to get the keys. Check out time is by 10:00 a.m. on the day of your departure. If you have not dropped the keys at our office by 10:00 a.m. there will be a late check out fee of $25 per half hour deducted from your security deposit. There is a lost key charge of $25 per lost key which will be deducted from your security deposit in the event of lost keys. 


All of our homes are NON-SMOKING.  There are no exceptions.  If there is any evidence of smoking, there will be a fee suitable to cover the cost of additional cleaning necessary to return the home to a non-smoked in state, deducted from your security deposit. 


Most rental homes do not allow pets. Please note the home owner may still have had a cat or dog in residence. We can make no guarantee for an allergen-free home.

If a homeowner does permit pets, the tenant is responsible for cleaning the area around the Rental Property of all pet excretions in addition to removing pet hair from inside the Rental Property and its furnishings prior to departure. In the event that additional cleaning, laundering services or material damage are required due to the pet, Cape Cod Associates will bill the tenant or the tenant's credit card on file.  The Cleaning Fee does not cover any damage or flea infestation caused by a pet . Any undeclared pet found in or about a "no pet" home is grounds for immediate eviction and forfeiture of all monies paid, and will result in a monetary penalty of no less than $250.

Linens and Child Gear:

Most of our rental homes do not supply bed linens, towels or child gear of any kind, including cribs and high chairs.  You may bring them from home, or feel free to contact us and we will be happy to give you contact information for local rental companies.

Departure Cleaning:

In order to provide you with a clean vacation home upon your arrival, each home is professionally cleaned between guests. Each home has a cleaning fee- please ask for amount. Please leave property in the same condition as found. The paid cleaning covers sanitizing bathrooms, cleaning kitchen, stove and refrigerator, vacuuming & mopping floors. The cost of Excessive cleaning may be deducted from security deposit. We ask that you please take out the trash, wash the dishes, empty dishwasher, do not leave any laundry in washer or dryer, secure the property and return all keys to our office at 566 Route 28 Harwich Port MA 02646


Trash is typically picked up twice per week. The trash is usually picked up very early in the morning so please make sure barrels are out the night before pick up. Please ask us for trash pick up days for your vacation rental if the information is not listed at the home.  If trash is not left at prescribe time, the tenant will be responsible for an additional pick up.  A fee of $75 will deducted from your security deposit or charged to the credit card we have on file for additional pick up paid by the tenant.


Not all properties have telephones.  No long distance calls are to be placed unless they are collect or billed to your credit card. There is a $20.00 fee for calls billed to owners in addition to the long distance charge.  Tenants should plan on bringing their cell phones and chargers.

Cable TV service: 

Most homes have some level of cable or satellite television service.  No pay-per-view movies are to be ordered unless they are billed to your credit card. There is a $20.00 fee for movies billed to the owner in addition to the movie rental charge. 

Internet Service: (In homes that provide this amenity) 

No refunds will be made due to interrupted service. We will be happy to assist you during business hours. 


If you need to cancel your lease, please notify our office immediately.  We will make every effort to re-rent the property for you; we cannot guarantee re-rental.  The deposit, less a 15% handling fee will be refunded only if the property is re-rented.  If we are unable to re-rent the property, you forfeit your deposit.
